Privacy Policy

1) Our Privacy Commitment

makkena is built on the principle that privacy is foundational to personal planning. We treat privacy as a first-order engineering constraint: we design the Service to minimize the data we store, avoid storing highly sensitive content when we can still deliver strong functionality, and give you meaningful control.

We use data only to provide and improve makkena's ability to support your own lifestyle, productivity, and quality-of-life—not for advertising, and not for selling personal information.

2) Key Definitions

• Account Data: information needed to create and operate your account (e.g., identifiers, authentication metadata, settings).
• Reminder Data: reminders you create in makkena (e.g., title, schedule, recurrence, completion state, notification preferences).
• Calendar Data: data from connected calendars (including events and related metadata).
• Memory Data: information you choose to store in makkena to personalize planning.
• Secret Memory: a Memory Data entry whose content is protected so that the external voice provider does not receive it; only its name/label may be shared (see Section 6).
• Service Providers: third parties that process data on our behalf to operate the Service (e.g., cloud hosting, AI voice processing, notifications).

3) What We Store (and Why)

A) Stored in our secure cloud database

We store:

• Account Data (to operate the Service and maintain settings)
• Reminder Data (reminders are an app-native feature that requires persistence)
• Memory Data (including Secret Memories, with additional controls in Section 6)
• Integration credentials (e.g., authorization tokens) required to maintain calendar connections you enable

Where it is stored: Account Data, Reminder Data, and Memory Data are stored in a secure cloud database operated by a well-established U.S.-based cloud provider. We use industry-standard safeguards such as encryption in transit and controlled access, and we configure encryption at rest and backups where supported and appropriate.

B) Not stored in our database: Calendar events

We do not store your calendar events in makkena's database.

This is a deliberate design decision: makkena can still maximize planning value (availability checks, conflict detection, scheduling assistance, and end-to-end calendar actions) by processing Calendar Data on demand and discarding it after completing your request, rather than retaining event content.

C) Not stored by makkena: audio and transcripts

makkena does not store your voice audio recordings or voice transcripts on makkena servers.

4) Calendar Integrations: Read/Write Access Without Storing Events

If you connect a calendar account, makkena can read and write calendar events to perform actions you request (e.g., create, update, move, or delete events; check availability; surface conflicts). This capability is sensitive, but integral to makkena's end-to-end planning support.

How we handle Calendar Data:

• Calendar events are processed transiently to complete your request.
• We do not store calendar event content in makkena's database.
• We may store operational data required to keep your integration functioning (e.g., connection status, authorized calendar accounts, and authorization tokens).

5) Voice Features and External AI Processing

makkena uses a well-established U.S.-based provider of AI solutions to enable real-time voice interactions. When you use voice features, audio is transmitted to that provider to generate responses.

Important boundaries:

• makkena does not store your audio or transcripts on makkena servers.
• We do not intentionally send Secret Memory content to the voice provider (see Section 6).
• The voice provider may process data in accordance with its published policies and safety requirements; we design makkena to minimize what is sent and to avoid transmitting protected secret content.

6) Memory Feature and Secret Memories (Biometric Reveal)

makkena may allow you to create "memories" to personalize planning. For Secret Memories, we apply additional safeguards:

• The external voice provider never receives the secret content of a Secret Memory.
• The voice provider may receive only the Secret Memory's name/label (for example, so it can reference that a protected memory exists without knowing its contents).
• The secret content is displayed to you only in the app UI via a temporary modal after successful Face ID / Touch ID (or equivalent device biometric) authentication.
• If biometric authentication is not available or fails, makkena will not reveal Secret Memory content via the modal.

7) How We Use Data

We use Account Data, Reminder Data, Memory Data, integration credentials, and transient Calendar Data to:

• Provide the Service (planning, reminders, scheduling actions you request)
• Maintain calendar connections you authorize
• Improve reliability and security (debugging, performance, abuse prevention)
• Support product improvements focused on user experience and productivity

8) Sharing and Disclosure

We do not sell personal information. We share data only as necessary to operate the Service and comply with law:

• Service Providers: cloud hosting, AI voice processing, notifications, and monitoring vendors that process data on our instructions
• Calendar Providers: when you connect calendars, we access data through those providers' APIs to perform requested features
• Legal and safety: if required by law or to protect users and the Service

Google user data (Limited Use)

If you connect Google services, makkena's use of Google user data is intended to comply with Google's API Services User Data Policy, including the Limited Use requirements.

9) Retention

• Calendar events: not stored in makkena's database.
• Account/Reminder/Memory Data: retained while your account is active and until you delete content or request account deletion, subject to short operational backup cycles.
• Audio/transcripts on makkena servers: not stored.
• Diagnostics logs: retained only as long as needed for reliability and security.

10) Your Choices and Controls

You can:

• Disconnect calendars within the Service (which removes/invalidates stored integration credentials, subject to backup cycles).
• Delete reminders and memories within the app (subject to operational constraints).
• Request account deletion via justcallmealplease@gmail.com.
• Revoke app permissions through your calendar provider's account/consent settings (methods vary by provider and account type).

11) Security

We apply reasonable administrative, technical, and organizational safeguards appropriate to the nature of the data processed, including encryption in transit, access controls, and least-privilege practices. No system is perfectly secure, but we design makkena to reduce risk by limiting the amount of sensitive content stored and shared.

12) Changes

We may update this Privacy Policy. We will update the "Last Updated" date and provide additional notice if changes are material.
